About Modern Family Finance
Modern Family Finance is a fee-only independent financial planning firm based in the San Francisco Bay Area that serves women and LGBTQ professionals — many of whom are tech employees or self-employed.
We combine comprehensive financial planning, tax planning, and investment management to help our clients make confident, values-aligned decisions. Our clients tend to be thoughtful, ambitious mid-career professionals in their 30s–50s who want their financial life to reflect their personal and family values.
Our mission is simple: provide tax-smart financial advice for modern families, delivered like a trusted friend.
We’re a small, collaborative team. We take our work seriously but not ourselves, and we believe that good financial planning changes lives.
We’re Hiring: Client Services Associate
Opportunity
We are looking for a Client Services Associate who genuinely loves helping people and takes pride in delivering an exceptional client experience.
This is not a sales or advisory role. Our clients trust us with their family’s financial lives, and you will play a central role in honoring that trust. You will be the connective tissue between our advisor, our systems, and our clients — making sure every interaction feels thoughtful, organized, and human.
This role is ideal for someone who already knows the rhythms of client service in a financial planning firm and genuinely enjoys learning new technology, including AI tools. As a small firm, we rely on smart systems and thoughtful adoption of new tools to work efficiently, and the technology in our industry is evolving quickly.
You will manage account openings, transfers, internal systems, and the operational details that keep client service running smoothly — while helping ensure our systems talk to each other and that new technology is integrated thoughtfully.
What You’ll Do
Execute Operations with Precision
- Prepare and process account openings, transfers, contributions, distributions, money movements, and other service requests
- Handle client paperwork accurately and efficiently, with close attention to detail
- Own custodial workflows and client account administration across Schwab Advisor Center and related systems
Manage Systems & Data
- Gather client information and get new clients set up accurately across our CRM and related internal systems
- Manage electronic workflows, document management, and operational systems so information stays current and organized
- Help ensure our systems are talking to each other and support the thoughtful integration of new technology as the firm evolves
- Support billing and compliance by helping keep documentation complete and organized
Support Client Communication
- Help with client onboarding, including gathering required documents and scheduling client meetings
- Assist clients via video calls with operational needs, including paperwork, money movement, and account logistics
- Communicate clearly and professionally so clients feel informed and supported throughout the process
Support Relationship-Building Efforts
- Assist with team events, client appreciation efforts, gifting, holiday cards, and occasional in-person events throughout the year
Improve How We Work
- Identify inefficiencies or friction points and help us improve processes over time
- Bring genuine curiosity about new software and AI tools and help us adopt them thoughtfully as the industry evolves
What Success Looks Like in This Role
- Clients experience less friction and fewer follow-ups
- You anticipate needs, reduce back-and-forth, and take ownership of follow-through.
- Clients feel supported, informed, and at ease
- They know what’s happening, what comes next, and who to contact.
- Operations run smoothly and accurately
- Paperwork, money movement, and account logistics are handled correctly and on time.
- The advisor can rely on you completely
- You communicate clearly, follow through consistently, and think one step ahead.
- The firm improves over time
- You contribute ideas that enhance workflows, efficiency, and the overall client experience.
Qualifications
- 2+ years of experience in a client service or similar role at a financial planning firm
- 1 years+ experience with Schwab Advisor Center is highly preferred
- Strong organizational skills and uncompromising attention to detail
- Clear, professional written and verbal communication skills
- Comfort learning new tools and technology, including software and AI tools
- Ability to self-start and thrive in a remote, entrepreneurial environment
- Alignment with the mission of Modern Family Finance and enthusiasm for working with women and LGBTQ clients
Hours and Compensation
- Full-time position
- Compensation starts at $65,000, depending on experience
- Role begins as a 1099 contractor for the first quarter and then converts to W-2
- 401(k) offered upon W-2 conversion
- Generous PTO
- Fully remote position
Why You’ll Love Working Here
- 100% remote role with flexibility and autonomy
- Work with thoughtful, kind clients — women, LGBTQ professionals, and modern families
- Be part of a collaborative team where your ideas genuinely matter
- See the direct impact of your work on real families — helping them feel calm, informed, and cared for
